Non-Unit Employee Tuition Reimbursement
Administrative Procedure 5.205
All College, regular, non-faculty employees who work half-time or more on a regular basis, and who are not included in employee organizations having collective bargaining agreements with the College, their spouses and their dependents shall receive tuition reimbursement for any Elgin Community College credit course offering successfully completed. Spouses shall include but not be limited to domestic partners and partners in a civil union.
- The College prohibits an employee from receiving release time for class attendance. A supervisor may, however, approve an alternate employee schedule to accommodate class attendance. This approval will be made if a full workload is maintained and it does not interfere with the normal provision of services or interrupts the normal office routine.
- A College course is any credit course offered to the general public and included in the published course listing.
- The tuition reimbursement is limited to tuition only. Other fees must be paid by the individual and will not be reimbursed, including, but not limited to: laboratory fees, course fees, supplies, textbooks, per student instructor cost, etc.
- Successful completion means that the individual has received a letter grade of C or better.
- Employee spouse and dependent refers to each employee’s spouse and the employee’s children age 25 or younger.
- Qualified individuals, upon successful completion of a College course, will submit to the Human Resources Department the appropriate documentation of the tuition paid and the successful completion of the course.
All College, faculty employees who are not included in an employee organization having a collective bargaining agreement with the College, will earn tuition reimbursement for credit courses at a rate of one credit hour for each credit hour taught (load hours) beginning the fall 2011 semester. This benefit will also be extended to the non-credit faculty members in the Intensive English Program (IEP). For the purposes of the IEP, the clock hours will be converted to credit hour equivalents when calculating this benefit. The tuition reimbursement hours will accumulate and can be used for the employee, their spouse and children 25 or younger and shall have the right to receive reimbursement of tuition only for all credit courses taken at ECC, in which they receive a grade of “C” or better. The faculty member must be actively teaching in the Spring or Fall semester for which the reimbursement is sought. Employees seeking reimbursement for a Summer semester course must be actively teaching in either the Spring semester immediately prior and/or actively teaching in the Fall semester immediately following the Summer semester for which the reimbursement is sought.
