Use and Rental of the Arts Center (Building H)

Elgin Community College intends that maximum use be made of College buildings and grounds facilities within the framework of the educational mission of the College. [See 110 ILCS 805/343.].  Nevertheless, buildings, grounds and other facilities have been developed and are intended to be used for activities associated with the College.  For that reason, all College facilities are non-public forums and unavailable for use by the general public, except as otherwise provided in this procedure.

When not required for activities associated with the College, Arts Center Facilities as identified below will be made available for rental to outside businesses and/or not-for-profit organizations. For facilities usage regulations and insurance requirements, please refer to Administrative Procedure 6.208 – “Facilities Usage Regulations.” These regulations only set guidelines and may be modified at any time without notice.

The following additional usage regulations apply to Arts Center Facilities: 

1 Current Arts Center facilities rental rates are available through the Visual and Performing Arts Center’s Office.

1. Eating and drinking are prohibited in the theatres, drama/dance rehearsal studio and the recital hall unless authorized by the Manager of Performing Arts or Director of Performing Arts. Food services provided must comply with Administrative Procedure 6.401 – “Food on Campus.”

2. Final equipment and personnel requests must be confirmed with the Technical Director (three) 3 weeks prior to the event/performance. Requests made after this period may not be honored.

3. Lessee must provide proof of right(s) to perform copyrighted material(s) before a license to use the Arts Center will be executed.

4. All stage equipment, lighting, sound, audio visual, orchestra lift, fly lines, etc. are to be operated by Arts Center AUTHORIZED TECHNICIANS ONLY.

5. Members of the audience are not allowed on stage or backstage, before, during or after the performance/event.

6. All house staff, ticket staff and seating arrangements are furnished and managed by the Arts Center.

7. Nothing can be sold in the lobby without the express permission of the Manager of Performing Arts or Director of Performing Arts. If permission is granted, the lessee will pay the Arts Center a commission of 15% of the gross sales if lessee provides all labor for such sales and 20% of the gross sales if the Arts Center provides any labor for such sales. These rates may be negotiated by the Arts Center’s Manager of Performing Arts or Director of Performing Arts.

8. Photography, audio or video recording is not permitted without the express permission of the Arts Center Manager of Performing Arts or Director of Performing Arts who requests your assistance with the compliance of this policy.

Priority Scheduling

Priorities for scheduling the Arts Center will be set in accordance with the following priority schedule:
